The Operations Service Center Rep II is responsible for processing transactions and supporting the delivery of service on share, money market, checking, certificate, member trust and IRA accounts, within prescribed legal and regulatory deadlines. The Operations Service Rep II is also responsible for processing all legal account-related requests, which includes levies, subpoenas, W8/W9 monitoring, and deposit processing. This position researches complex account corrections and acts as support for the frontline and back office departments, as well as members.
Specific Duties & Responsibilities:
Performs all functions of the Operations Service Center Representative I including mail processing, processing deposits, and the retrieval of documents.
Establishes new memberships, share accounts, certificate accounts, money market accounts and trust accounts, received via web site, mail, fax, business development and or branches, ensuring all compliance and audit requirements are met.
Performs functions related to consumer lending, including payment processing and payment adjustments, while following CU lending policies, procedures and guidelines.
Processes daily Diebold deposits and eDeposits, which includes check approvals/denials, check review, and check research.
Processes member disputes and research requests regarding deposits, mis-posted payments, and encoding errors.
Performs daily system file maintenance required to ensure proper member account postings, including account modification, check orders and record changes.
Completes appropriate documentation for dispensation of incoming and outgoing collection items, processes applicable transactions and prepares paperwork.
Researches and processes returned deposited items.
Monitors fax machine for all incoming correspondence throughout the business day and processes requests appropriately.
Monitors the “Online Account”, “Online Certificates”, “Online Shares” and “Transfer Request” e-mail box, at regular intervals throughout the business day, to ensure that requests are processed efficiently and accurately.
Maintains confidentiality of information as well as controls and protects sensitive information and material.
Approves or denies, within established guidelines, requests received from members to open and/or convert accounts to trust, POA, or conservator; and communicates outcomes of these requests.
Receives and processes levies and garnishments received from government agencies and/or presented by levying officers, including determining if member funds are available to satisfy levy/garnishment; communicating resulting action to appropriate parties; and issuing checks to satisfy levy/garnishment as appropriate.
Assists in coordinating the processing of subpoenas, and obtains documents for delivery to subpoenaing party.
Assists members with multifaceted account information or complex discrepancies, following established procedures.
Manages and utilizes time effectively, as well as assisting others within the department, to ensure SLAs are met.
Participates in on-going training and seminars as required.
Ensures full compliance with UNIFY Financial Federal Credit Union Service Standards, policies, and procedures; and with the Bank Secrecy Act.
Performs other duties as assigned.
Qualifications, Experience, & Education:
Requires a high school diploma or equivalent with a minimum of one year related back-office operational experience in a financial institution. Thorough knowledge of all share account and other banking services required as well as the ability to communicate effectively, both verbally and in writing. Experience in spreadsheet, word processing software applications and Symitar preferred.
